Appogee Leave: Registering Users

This feature can only be accessed by HR Admins and Administrators who are not Appogee HR customers. Appogee HR customers can register users in Appogee HR only.

Appogee Leave allows you to register a user provided they have a valid email address. It is important to note that an email address is the primary identifier of a user in Appogee Leave, and it is attached to the domain name to which they are registered. As such you cannot have the same email address used in several domains. 

A few important things to note before you continue:

Registering users to Appogee Leave does not give them access, they have to be activated, i.e. a Team Profile and Employment Profile must be assigned for them to be able to use Appogee Leave.  

Users and their data cannot be deleted from the system unless the administrators request a total deletion of the entire company Appogee Leave account. Absence requests can be cancelled and modified and users can be deactivated.

Users must be first registered into the system before they are activated and will only appear in the Activation page if they are not activated. Once they are registered - they cannot be deleted from the system and all associated records such as requests will be maintained.  

As email addresses are used as the primary identifier of users - they cannot be re-used on a different user. As Appogee Leave supports email and password login the email address must always be unique.

For Google Apps users, only primary email addresses will give the user login access via Google Apps and all other Google Apps integration. At present Google does not support secondary email addresses. 

You can now register users to Appogee Leave in any of the following ways:

  1. Manually register a single user 
  2. Upload a CSV list of users 
  3. Import/update users from Office365 (Will only work for Office 365 integrated domains. See this article on how to integrate.)
  4. Import/update users from Google Apps (Will only work for Google Apps integrated domains. See this article on how to integrate.)
 
To register users, go to HR ADMIN->Users and click on the Activate New Users button:

Registering users manually

Select Manual Registration:
 
With this method, only one user can be registered at a time. To get started, select the Manual radio button if not yet selected.
 
You will not be able to register a user with an email address which already exists in Appogee Leave.  
 
Enter the user data as below. Start Date and Payroll No are optional. Be sure to check the message that appears next to the email address as it will give you information about the user's email address. 
 
 
 
If the email address in unavailable then it is already in the system and does not have to be registered. 
 
Click the Register User button and the user will be registered.
 


Uploading a CSV list of users

You can register a batch of users using this method. To get started, select the CSV radio button if not yet selected.
You will need a CSV file which includes the following column headings:
  1. Email (mandatory)
  2. FirstName (mandatory)
  3. LastName (mandatory)
  4. StartDate (optional and in the format yyyy-mm-dd)
  5. PayrolNo (optional)
 
The upload will be unsuccessful without the column headings above. We recommend that you download and edit our sample CSV file from the link.
 
 
Please ensure that your CSV editing software (e.g. Excel) does not automatically change the format of the date. If the date format is incorrect the CSV upload will fail.
 
 
Below is the correct StartDate format in a CSV file. If your StartDate format is different you will receive an error:

Click on the Choose File button and select the file from your computer. 
 
Click on the Upload CSV button to upload the file and the upload will begin.

The import page will show you how many users were found, how many were successful and any errors encountered.

When you have successfully registered the users you should be able to see the newly registered users in the User Activation page by clicking on the Activate Users button. 
 

Importing users from Office 365

Please note that this only available to Administrators and only with Office 365 correctly integrated with Appogee Leave.
 
Your Office 365 users can be imported to Appogee Leave in just a few clicks. This is also how you can update user profile details such as names and email addresses after they have changed in Office 365. Click on Office 365 Import:
 
 
Click on the Import All to import all users or Import Selected to import the users you have selected:
 
 
 
Appogee Leave will import in the background. You will see the newly imported users in the User Activation page shortly. 
 
 
 

 
 

Importing users from Google Apps

Please note that this only available to Administrators and if Appogee Leave is correctly integrated with your Google Apps domain.
 
Your Google Apps users can be imported to Appogee Leave in just a few clicks. This is also how you can update user profile details such as names and email addresses after they have changed in Google Apps. Click on Google Apps Import:

Appogee Leave will import in the background. You will see the newly imported users in the User Activation page in a few minutes.
