Appogee HR: Registering new users

What to consider before registering/activating new users

As email addresses are used as the primary identifier of users - they cannot be re-used on a different user. As Appogee HR supports email and password login the email address must always be unique.

For Google Apps users, only primary email addresses will give the user login access via Google Apps and all other Google Apps integration. At present Google does not support secondary email addresses.

Where to register new users?

To register a new user in Appogee HR, you will need to go to HR Manager > Employee Directory > New Employee

There is a number of ways you can register new users:

1. Manual Registration

To do this, you will need to click on Manual Registration

By selecting 'Registration', you will only be allowed to register one user at a time. To get started please ensure you enter the following mandatory fields:

      • Full Name
      • Email Address*
      • Job Title
      • Employee Status
      • Start Date
      • Team

*You will not be able to register a user with an email address which already exists in Appogee Leave.

2. CSV Upload

The CSV upload allows you to import new Employee Profiles into Appogee HR via a CSV file. The CSV file must contain an Email column, which will be used to identify the Employee. If the Employee already exists, their details will be updated.

3. Import from Google Apps

Please note that this is only available to Administrators and if Appogee HR is correctly integrated with your Google Apps domain. Please check the following KB article to ensure you have integrated with Google Apps, Appogee Leave: Integrate with Google Apps

Your Google Apps users can be imported to Appogee HR in just a few clicks. This is also how you can update user profile details such as names and email addresses after they have changed in Google Apps. To do this, Click on Google Apps Import as shown below

Appogee HR will import the users in the background. You will see the newly imported users in your employee directory page.

4. Import from o365

Please note that this is only available to Administrators and if Appogee HR is correctly integrated with Office 365. Please check the following KB article to ensure you have integrated with Office 365, Appogee Leave: Integrate with o365

Please ensure that you have entered the following information:

      • Team
      • Job Title
      • Job Start Date (optional)
      • Employment Profile (Mandatory for leave login)

Click the users you wish to import and click on 'Import selected'

Appogee HR will import the users in the background. You will see the newly imported users in your employee directory page.

Employee Login Options

When you register new users, you are given the following options as shown below:

This allows you to enable login for each app, Appogee Leave and Appogee HR.

 5. Employee Status

There are 5 different employee statuses assigned to users. These are Joining, Active, Leaving, Former, Archived.

 6. Assigning a user to a team

It is mandatory for users to be assigned to a team. For further information on how this is done, please click here.

 7. Granting login access to users

An Administrator and HR Manager can grant login authorization to users, by sending a welcome email with login instructions. 

The user is selected from the employee directory.

Under the Options button in the user profile, the welcome email can be sent to the selected user. This email will contact a URL link to the system and instructions of how to log in.

 8. User roles

Appogee HR has various roles assigned to the various users. The roles in Appogee HR are HR Administrator, HR Manager, Team Manager, User and ADU Manager. The various roles have different authorization to view and use the system. For further information regarding Appogee HR user roles, please click here.
