There are a few ways to register an employee who is not currently in the Appogee HR system.
- Manually register a single employee
- Import users using the CSV import
- Import users via G suite/o365/Xero import
You will need to have created the Team which the employee will be a member, before you register the employee
There are two places you can manually register an employee, to do this you will need to click on Add employee as shown in the screenshot below:
You can do a 'Quick Add', by clicking on the '+' button.
For more advanced options you will need to click on 'Add Employee'> Add Manually which will take you to the main registration page.
In the registration page, you will need to enter or select the following required details about the new employee:
- Full Name
- Email Address
- Leave Profile
- Job title
- Employee Status
- Start Date
You will then need to select the following Employee Login Options:
- Appogee HR Self Service: whether to allow the employee to log in to Appogee HR. Disabling this will remove the Send Welcome Email option below.
- Activate Appogee Leave: whether to allow the employee to log in to Appogee Leave & submit requests
- Send Welcome Email: whether to send out an email introducing them to Appogee HR and providing a link to log in to Appogee HR
Once you have entered the above information, you will then need to click on 'Register Employee'
You will need to download and prepare your CSV file for upload. If the employee(s) in the CSV file already exist, their details will be updated in Appogee HR.
To import users via the CSV import, you will need to go to 'Add Employee' > Import from CSV
Please ensure you download a new CSV with each upload to ensure that you have the latest version as the CSV file headings are based on the Profile Fields configured by your Administrator.
When you have downloaded the CSV file, you will need to add the employee profile data to it. Please ensure that your CSV file has been prepared correctly or you may experience errors when uploading the file. When you have prepared your CSV file and entered the employee data to it, you may then upload it. Click on the Browse button and select the CSV file from your machine. Click on Upload & Import to begin the CSV upload.

When uploading a CSV you have the following options:
Allow Login to Appogee HR?
||If selected, login will be enabled for any newly created Employee Profiles to Appogee HR. This opens up features such as Employee Self Service. This may result in verification emails being sent.
Allow Login to Appogee Leave?
||If selected, login will be enabled for any newly created Employee Profiles to Appogee Leave. This opens up features such as Booking Leave. This may result in verification emails being sent.
Send Welcome Email?
||If selected, a welcome email will be sent to new employees created during the import process. The welcome email contains introductory information for new users.
Overwrite with blanks?
||If selected, data will be overwritten with blank values from the CSV file.
Automatically create keywords?
||If selected, new keywords will be automatically created if they do not already exist. Keywords are values found in dropdown boxes on the Employee Profile
Overwrite List Values?
||If selected, list values (such as Telephone numbers, Assets, Dependents, etc.) will be overwritten. Leave unchecked to append to existing values.
If you have integrated with G Suite, o 365 or Xero you will be given the option to import users from the specific third party app.
For the following example, we will be using Appogee HR integrated with G Suite
To import users via G suite / o365 / Xero, you will need to go to Add Employees > G Suite. You will be presented with a wizard where you can select the employees you wish to import:
