Completing a Performance Review


Within Appogee HR its possible to conduct an employee Performance Review which allows you to gather information and feedback about an employee and review specific elements of the their performance across a set time period. 


There's a variety of Review Types available to configure as well as predefined or custom review periods, for example quarterly or annual. The Performance Review will allow you to obtain 360 Feedback from across the organisation and once complete, can be saved to an employee's Performance Profile. 


Team Managers have the ability to run Performance Reviews for the employees they manage. 

HR Managers have the ability to view the Performance Reviews of all employees in read only format.


Conducting a Performance Review


Go to Performance > Reviews.



Click Start New Review and fill out the form.




Click Create Review. 


The Review Doc will be created in Draft.

Depending on the Review Type you have selected, the Review Doc will be made of different elements. Including the following: 


Employee Profile Data

This can include any field or fields on the Personal, Employment, Performance or Assets profile data that you have stored in the Appogee HR system. Depending on the configuration, you may be able to toggle this section off using the switcher on the right hand side. You may also be able to edit the fields within this section by clicking the +Select Fields button. 





Leave Data

This will show a graph of how many leave days were taken during the review period. The days are split by type - deducted leave, non-deducted leave and sickness. You can also see a full breakdown of the requests by clicking the expand button. Depending on the configuration, you may be able to switch the Leave Data section off using the toggle.




Shout-outs 

If the employee has received any Shout-outs in the review period they will show in the Shout-outs section. You can enable/disable the relevant Shout-outs you'd like to include in the review. Depending on the configuration, you may be able to switch this section off using the toggle. 



Goals & Goal Reports

Any Goals that the employee has been assigned during the Review period will show here. Any Goal Reports that have been created will also show. Depending on the configuration, you may be able to switch this section off using the toggle. 



Manager & Employee Self Assessment 

Specified topics to be included in the Review  (as configured by your administrator) are provided for the employee to create their self assessment and for Managers to provide feedback.  When you request the employee to provide their self-assessment a manager can begin preparing their feedback.  This will not be shared with the employee until the review is completed.


Depending on the configuration, you may be able to switch this section off using the toggle. 


To request employee Self-Assessment, click the button. 


To add Manager Assessment, navigate to the next tab along called Employee Assessment.

This tab is where you will can fill out the Manager assessment as well as view the Employee's Self Assessment, once they have submitted it.



The Topics to work through will be down the left hand side. Any topics that haven't been completed will show in yellow, once the topic has been completed by both the Employee and the Manager, they will turn green. 


If the topic is only required by either the Employee or the Manager, then this will turn green once it has been completed. 


Work through each of the topics providing your comments and click Save & Continue. 



360 Feedback tab

You can request & receive 360 Feedback at any time in the process by switching to the 360 Feedback tab, or if the Review is 360 only then it's the first page. Request feedback by clicking the button. 



Depending on the configuration, you may be able to add your own topic headers. 


Fill out the form and click Send Request. 

The feedback will only be shared between the requester and the submitter - and with HR Managers.  



Completing a Review


When you're happy that the Review is finished, click Complete Review at the top. If there is anything that has not been completed you will be prompted with a message letting you know which sections are incomplete. You are able to complete the review but you cannot go back after this point. You can cancel and make the relevant changes and then complete the review at a later date. 


You can optionally make the review document available to the employee. They will see this in read only format from their review page. 360 Feedback is never available for the employee to read. 


Once complete, the review is now available in Read Only format. 


Reviews are then finalised and a version is saved for the employee to see, along with a fuller version for the Team Manager to see. 


Once a review is complete, you have the ability to download a PDF of the review. If there is 360 Feedback included, this will be a separate download available for Team Managers and HR Managers only, to keep in line with the security settings.
