When you first log in to Appogee HR, you will see the Dashboard page where you will be able to see several items at a glance as shown below, including your year at a glance absence planner, a new Who's Off widget that allows you to see who in your team is away on any given week/month, as well as any Actions or Notifications you may need to act upon.



Personal Profile


Click on Personal to see all data pertaining to your Employee details that you have access to.


In the example below you can see a sample Personal profile. You can click on your profile picture to upload a new one.  You may well be able to add additional information to these fields yourself.

in the screenshot you see the default set of fields but these can be updated by your administrator.  Tabs are available for sub categories for example the sub-categories shown below are for Contacts and Bank Details



Where you enter information yourself, do remember to save your changes.  Information related to your work appears on the menu item Employment, as shown here:




Some fields might be shown as a set of asterisks. Their contents can be viewed by clicking on the icon as shown below. These are often used for sensitive information such as bank and salary information.


You may have records uploaded to your employee profile. These are documents/links pertaining to your profile. They are uploaded against the tab on the right of this screen.


You can view a list of records under a sub category or you can also view a list of all records in the Records category by clicking on the Record Category as shown in the screenshot below:



Employee Directory


You can switch between 3 views in the directory, this Grid View, a more traditional List View and as an Organization Chart.  You can search across your organisation if you want to find a specific person by email address.

If you do not see the Employee Directory it means your Appogee HR Administrator has not enabled it for you.



Company Documents


These are documents made available to teams and the entire organisation.  They are classified by Document Type and you can filter by type to make it easy to find what you need.  Icons are shown to indicate the level of access you have to any specific document.



Checklists


A Checklist is a list of items to be performed, and checked off by a (single) specific User to manage a workflow process. In the example below there is a checklist assigned to the user called HR induction checklist:




Completing a checklist


Click on a checklist to complete it. A checklist page will appear as below:



Actions & Notifications


You will normally see your key Actions and Notifications on your Dashboard, but you can also see a dedicated page, allowing you to list them all by clicking on the 3 dot menu in the dashboard as here:



Clicking on either of these will bring up your dedicated page for My Actions and Notifications which allows you to filter by type and by status.

Year at a Glance


The main way of tracking your absences is shown on your dashboard, and also in a dedicated Year at a Glance screen is on a calendar showing your absences across your leave year.  It is interactive.  Clicking on an empty date will commence a new booking.  Clicking on a coloured block will open details of that specific absence request, showing the full details including its approval flow.




Submitting Requests


Requests can be made by either clicking on the New Request button or by selecting the relevant start date on the calendar.


Select a type of leave request - Leave, Sickness or TOIL. 

(Please note that these options may not all be available to you as they are dependant on the setup by the HR Managers at your company)




Leave Requests

This overview box will state what you are choosing to book. From here you can amend your request to be what you need.



Use the Type of Leave drop down to select which type of leave you are requesting. These options are configured by your admins and will be a series of leave deducted from your allowance and some leave types which are not.


You can also choose to book half days if your company allows this as shown below. Select Morning Only or Afternoon Only to see only half the date box highlighted.



You can also choose to override leave hours to specify a shorter period of time than a full or half day. Again this depends on what your company configure.


The overview of allowance at the bottom totals up what you have left once you submit this request.


Your company may also require a reason for your leave requests, if so this you will need to enter this before submitting.

Before submitting the request you will be shown an overview of what you are requesting. If you want to cancel or amend then you can do so from here.



Once you have submitted the request will be sent to your manager and show on your calendar as below;



Sickness Request


Selecting the sickness report option will bring you to the screen below. From here you can select your sickness type, this list is determined by your administrators.  


You must define the range of sick absence if you know, if not then make sure that you do not tick "Have you returned to work?"  


If this is not ticked then you will need to complete the Sickness Report when you return to work or this will keep rolling over to the next day.


Similar to a Leave request you can also select half days for sickness or override with a shorter time.


The next screen will ask for a comment. This may or may not be set to mandatory, depending on how your company has set up.

You will be asked to confirm the request before submitting. If you need to cancel or amend then you can do so from here.



Once you have submitted your sickness request it will appear on your calendar straight away, as shown in the screenshot below.



If you have a sickness report that has been left open without an end date, you will see an alert banner at the top of the screen with an option to click on Return to work now.

This will close the request off.


TOIL Requests

Please note this may not be an option configured by your HR Managers.


A TOIL request should be used to submit a request for time back for any additional work you may have done outside your working hours. For example, if you had a worked a Saturday which is not part of your working week, you may like to claim back this time and add to your allowance.


The start and end dates need to reflect the period of time in which you worked extra. You can also select how much time, using either the hours or days boxes.


The overview at the bottom will give you an overview of your allowance remaining both now and if approved.



The next screen will ask for a comment. This may or may not be set to mandatory, depending on how your company has set up.



You will be asked to confirm the request before submitting. If you need to cancel or amend then you can do so from here.

 


This will not appear on your calendar as this is a request to add time off to your allowance, rather than a day you will be absent. You will be able to now see the request under the My Requests tab.



Once the request has been approved by your manager it will appear as additional time off that gets added to your allowance. 


Setting Gmail Out of Office

Please note this may not be an option configured by your HR Managers.


As a Google Integrated employ when submitting a request, whether, for Leave or Sickness, you can configure Gmail out of office from within Appogee Leave.


To set your Out of Office follow these steps:


Click to create a new request and enter the request details. You should see an "Auto set Gmail out of office", as shown. 


This can only be set for future requests.



When the "Auto set Gmail out of office" is checked, you can edit the Subject and Message. You can also use the "Import from Gmail" links to import your current Gmail Subject and Message.



If you want to restrict the recipients that will receive the Out of Office messages, use the options shown below.



Click on the Next button to confirm the Out of Office configuration. The Out of Office will then be enabled on the request.





Cancelling Requests


If you wish to cancel a request, you can do this by clicking on the request from the Year at a Glance screen or by going to my requests. 



When you click on 'Submit Cancellation', you will be requested to provide a reason for cancelling the request. 


The request will then be in a Cancellation Pending state, waiting for your manager to either approve or reject this pending cancellation as per screenshot below:





Requests


The Requests tab allows you to see an overview of all your requests and with further detail about each. There are a few options to filter through different leave years and requests types as shown below;



You can have a look through the Status of the request & the reason you entered when submitting the request. You can also keep track of the leave types and dates the request spans. Each request also shows an overview of where you are at with your allowance when that request goes through.


Team Calendar


The team calendar can be used to look at the requests and sickness across your team. 



Logging out of Appogee HR



To log out of AppogeeHR, click your user icon in the top right of the screen which brings up an Account menu and then click the logout button.
