In this article:



Access Appogee HR by going to hr.appogeehr.com. There are three ways to log in - Email address and Password, G Suite Log in, or Office 365 Log in, your details will be in your welcome email, or alternatively contact your Administrator. 



Basic Navigation


Once you're logged in, you'll be presented with the Dashboard. This shows you your Leave Summary,  a calendar of Who's off and any Actions or Notifications.

Your Leave will be shown in the Year at a Glance feature on the Dashboard. This may have been populated by your administrator with your data for the current Leave Year, or it may be blank. You can see above that Alice has some approved Leave in Green, some pending Leave in Yellow and a sickness report shows in red. The sun icons show Public or Company holidays. 


Below that is the Who's Off widget, which shows who in your team is off. Depending on the configuration, you may also be able to see other teams Leave data by using the dropdown on the right. 


Actions and notifications show underneath that. 


Getting around Appogee HR can be done using the navigation bar on the left. The top section is Company information and below that are HR Processes, with personal records and information.

Key Sections



Directory

The Directory is where you can find other employees in your organisation. There's three ways you can view this - a grid, a list or as the Org Chart. Use the icons in the top right corner to toggle between list and grid, switch between tabs to get to the Org Chart showing the teams and their managers and click show members to see the teams. 


This can be configured to be switched off, so may not be visible for you.

Company Docs

Any Company Document that has been made visible to you can be found in Company Docs. You can look at them by Company Document Type or see all of them in a list. The table shows you the read and edit permissions for these documents.

Personal

Along the top you have your Employee ribbon, your Team and Manager are shown and also your HR Manager. You can click on your profile picture to upload a new one. 


Any of the fields that are white can be edited by you, and any fields that are grey have been configured to be read only, these permissions are set up by your admin. Some fields might be shown as a set of asterisks. Their contents can be viewed by clicking on the icon next next to the field.  These are often used for sensitive information such as bank and salary information.


You'll also see that the Personal Profile has tabs (Basic Information, Contacts, Bank Details), switch between these to see what other data is stored here.

Where you enter information yourself, remember to save your changes. 


To the right, you will see a section called Records. You may be configured to upload your own to be stored on your profile. If you click the blue Records button, this will give you a different view and the opportunity to do a quick upload of records.

Leave

If you go to your Leave Overview, you'll see the Year at a Glance calendar again as well as other options - Requests, Allowances & Team Calendar. You can submit Leave Requests and Sickness Reports here, and also from the Dashboard - the process is the same. For more information on submitting Leave Requests, jump down to the section below

HR Processes

The sections Employment, Performance, Learning and Assets all follow the same structure as your Personal Profile. There will be a set of fields on the left and records are stored on the right.

Checklists

A Checklist is a list of items to be performed, and checked off by a (single) specific User to manage a workflow process. In the example below there is a checklist assigned to the user called HR induction checklist:


You can see any checklists that are assigned to you either in the Dashboard or if you click on Checklists from the menu. As below, you can see any Assigned and In Progress checklists and use the dropdown to filter by status, to see any previous checklists. 



Click on a Checklist to open it to view the items and check these off when necessary, optionally add comments against each item. 


When you tick off each item, the progress percentage will increase.

Actions & Notifications


You will normally see your key Actions and Notifications on your Dashboard, but you can also see a dedicated page, allowing you to list them all by clicking on the 3 dot menu in the dashboard as here:



Clicking on either of these will bring up your dedicated page for My Actions and Notifications which allows you to filter by type and by status.

Submitting a Leave/Sickness/TOIL Request


Leave/Sickness/TOIL requests can be submitted in more than one way. From the Dashboard, click on the date in the Year at a Glance calendar or the New Request icon in the top right corner. You can also submit a Leave/Sickness/TOIL request from any of the sub-categories within the Leave section from the menu. TOIL is Time Off In Lieu and may be switched off if your company does not support this as a Leave type.


Once you've clicked new request, a dialog will pop up asking what type of request you would like to make. 

NOTE: If you only have Leave configured, this dialog will not show and the system will take you to the next screen

Leave Request: 

Select your request type as Leave and you'll be directed to the next screen. Here you can edit the details of the request. If you've clicked on the date in the calendar, you'll see the below screen, if not, you'll be asked to enter the dates first, and then you'll be taken to the below screen. 



Fill out the form as below: 


Type of Leave - your system may be configured so you can select from the dropdown the type of Leave you wish to take


Dates - Enter a start and end date. You may also have the option to select whether your Leave is Full day or Half day 


Requested time - this is based on your working hours, speak to your HR Manager if you think this is incorrect


You may also have the option to override the time of your Leave.


Check everything on this page is correct, then click Next. 



You may be required to enter a reason for your Leave Request, type in the box and click Next. 


If you're integrated with G Suite, you may be able to configure your out of office here too. 


The next screen will show a summary of your request, check this is accurate and click Submit Request. 


You'll notice your calendar has updated with the leave request and this will show in yellow as pending until it has been approved, when it will turn green.



Sickness Report: 

Select your request type as Sickness and you'll be directed to the next screen. Here you can edit the details of the request. If you've clicked on the date in the calendar, you'll see the below screen, if not, you'll be asked to enter the dates first, and then you'll be taken to the below screen. 



Fill out the form as below: 

Type of Sickness - choose the type of sickness from the dropdown


Dates - enter a start and end date. You may also have the option to select whether your Sickness if Full day or Half day


Requested time - this is based on your working hours, speak to your HR Manager if you think this is incorrect


You may also have the option to override the time of your Sickness. 


Check everything on this page is correct, then click Next. 



You may be required to enter a reason for your Sickness Report, type in the box and click Next. 


If you're intergrated with G Suite, you may be able to configure your out of office here too. 


The next screen will show a summary of your request, check this is accurate and click Submit Request.


You'll notice your calendar has updated with the Sickness Report showing in red. 



TOIL Request

Select your request type as TOIL and you'll be directed to the next screen. Here you can edit the details of the request. If you've clicked on the date in the calendar, you'll see the below screen, if not, you'll be asked to enter the dates first, and then you'll be taken to the below screen.



Fill out the form as below:


Dates: enter a start and end date

Working Dates: add in how much time you are requesting back, this can be input in days or hours

Your allowance remaining (if approved) will increase as per the amount of time you have requested back. 


Check the details are correct and click Next. 


You may be required to enter a reason for your TOIL Request, type in the box and click Next. 


The next screen will show a summary of your request, check this is accurate and click Submit Request.


You'll notice your overview wheel will have updated with pending Leave in yellow, which will change to green once the request is approved.
